Team Ontario Lacrosse is a high-performance program administered by the Ontario Lacrosse Association (OLA).

The collection, use, and protection of personal information for Team Ontario participants follows the privacy practices established by the Ontario Lacrosse Association. This Privacy Policy explains how personal information related to Team Ontario programs is collected, used, disclosed, and protected in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Canadian privacy laws.

1. Accountability

The Ontario Lacrosse Association is responsible for personal information collected in connection with Team Ontario Lacrosse programs.

2. What Personal Information We Collect

Personal information may be collected to administer Team Ontario programs and activities.

This may include:

  • Travel information where required for events or competitions

We limit the collection of personal information to that which is necessary for the administration of Team Ontario programs.

Personal information may be collected through several methods.

Registration Platform

The Ontario Lacrosse Association uses SportzSoft Solutions Inc. (“SportzSoft”), a third-party registration and membership management system used by the OLA and its member clubs.

When individuals register for Team Ontario programs, evaluations, or events through SportzSoft, personal information is collected and securely stored within the SportzSoft platform for purposes including:

  • Program registration

  • Participant eligibility verification

  • Program administration

  • Communication with participants and families

  • Compliance with Ontario Lacrosse Association requirements

SportzSoft acts as a service provider that hosts registration systems on behalf of sport organizations. Personal information is managed in accordance with SportzSoft’s privacy practices and applicable privacy legislation.

Direct Communications

Personal information may also be collected when individuals:

  • Apply for or register for Team Ontario programs or tryouts

  • Communicate with Team Ontario staff, coaches, or administrators

  • Participate in Team Ontario events, evaluations, camps, or competitions

4. Purpose of Collecting Personal Information

Personal information may be used for purposes including:

  • Registering and administering Team Ontario programs

  • Managing tryouts, evaluations, and team selections

  • Communicating with athletes, parents/guardians, coaches, and staff

  • Organizing training camps, practices, and competitions

  • Coordinating travel and event participation where applicable

  • Ensuring participant eligibility and compliance with governing bodies

  • Insurance and risk management purposes

  • Program administration and high-performance development

  • Statistical analysis and program improvement

Personal information will only be used for the purposes for which it was collected unless additional consent is obtained or permitted by law.

5. Sharing of Personal Information

Personal information may be shared with organizations involved in the administration of Team Ontario programs, including:

  • Ontario Lacrosse Association (OLA)

  • Lacrosse Canada

  • Event or tournament organizers

  • Insurance providers

  • Team Ontario coaches, staff, and administrators

Information is shared only where necessary to administer Team Ontario participation and comply with governing body requirements.

Personal information is not sold or rented to third parties.

6. Electronic Communications

As part of registration with the Ontario Lacrosse Association and Team Ontario programs, participants consent to receive electronic communications related to Team Ontario activities.

Communications may include:

  • Travel or competition information

Participants may unsubscribe from optional communications where applicable. Some communications related to program administration may still be sent where necessary for participation.

7. Photography and Media

During participation in Team Ontario programs, events, or competitions, photographs or video may be taken.

Participants acknowledge that image and likeness permissions are provided during the registration process with the Ontario Lacrosse Association. Photographs or video may be used by the Ontario Lacrosse Association for promotional, communication, or informational purposes related to sanctioned lacrosse activities.

8. Website Data and Analytics

The Team Ontario or Ontario Lacrosse Association website may collect limited non-personal information such as:

  • IP address

  • Browser type

  • Device type

  • Pages visited

  • Website usage statistics

This information is used to improve website functionality and user experience and does not identify individual users.

9. Security of Personal Information

The Ontario Lacrosse Association takes reasonable measures to protect personal information from loss, theft, unauthorized access, disclosure, copying, or modification.

Security safeguards may include:

Access to personal information is limited to authorized OLA administrators, Team Ontario staff, and designated program representatives who require the information to perform their duties.
